Meeting Room & Conference Room Microphones

Microphone selection is one of the most important parts of professional meeting room audio design.

Poor microphone coverage can leave remote participants struggling to follow conversations, while the right system can create a much more natural experience between people in the room and those joining remotely.

Depending on the room, GT can design solutions using ceiling microphones, beamforming microphone arrays, table microphones, wireless handheld microphones, lapel microphones or microphones integrated into video conferencing systems.

Ceiling & Beamforming Microphones

Ceiling microphones provide professional voice pickup while keeping meeting tables clear of additional hardware, creating a cleaner and less intrusive meeting room environment.

Modern beamforming ceiling microphones can create and manage targeted pickup coverage across meeting rooms and boardrooms, helping capture multiple participants consistently while reducing unwanted sound from outside the required coverage areas.

GT works with leading professional audio platforms including Shure Microflex Advance MXA920 and MXA925, Sennheiser TeamConnect Ceiling, Biamp Parlé, Yamaha ADECIA RM-CG and Audio-Technica ATND1061 ceiling microphone systems.

These technologies can provide features including automatic or dynamic beamforming, configurable pickup and exclusion zones, talker positioning for intelligent camera tracking, Dante network audio and integration with professional digital signal processing.

Ceiling and beamforming microphones are particularly effective in larger meeting rooms, executive boardrooms, divisible spaces and environments where flexible seating or a clean architectural finish is important.

Microphone selection and positioning should be engineered around the complete room, including ceiling height, seating layout, room acoustics and reverberation, HVAC systems, lighting, loudspeaker locations and camera coverage. This ensures microphone coverage works as part of the wider Microsoft Teams Room, Zoom Room or workplace AV system rather than as an isolated component.

Table Microphones

Table microphones can provide excellent speech pickup where the room design and furniture layout make them appropriate.

They are particularly useful where close participant pickup is required, where ceiling conditions make overhead microphones less suitable, or in rooms with more challenging acoustics. Positioning microphones closer to participants can improve the direct-to-reverberant sound ratio, helping maintain clearer, more intelligible speech where room reverberation is higher.

GT designs meeting room and boardroom audio systems using professional tabletop and boundary microphone solutions from manufacturers including Shure, Biamp, Yamaha and Q-SYS, with technologies such as Shure Microflex, Biamp Parlé, Yamaha ADECIA and Q-SYS network microphones selected according to the room, acoustics and conferencing platform.

Wireless Handheld & Lapel Microphones

Larger boardrooms, training rooms, presentation spaces and all-hands environments often need to operate as more than conventional meeting rooms.

Professional wireless handheld microphones and wireless lapel microphones give presenters and participants greater freedom while providing dedicated speech reinforcement for presentations, town halls, training sessions and company events.

GT designs and integrates professional wireless microphone systems from manufacturers including Shure and Sennheiser, with platforms such as Shure QLX-D and ULX-D and Sennheiser EW-DX providing handheld and bodypack microphone options for corporate AV environments.

Depending on the application, wireless microphone systems can incorporate handheld microphones, lavalier or lapel microphones, head worn microphones and bodypack transmitters, with rechargeable battery management, network monitoring and integration into the room's DSP, loudspeaker and conferencing systems.

For larger or more demanding environments, technologies such as Dante network audio, remote system management and coordinated RF frequency management can allow wireless microphones to become part of a complete, professionally engineered workplace audio system.

This makes wireless microphones particularly suited to executive boardrooms, divisible meeting rooms, training spaces, town halls and all-hands environments where the same room may need to support Microsoft Teams or Zoom meetings one day and live presentations or company events the next.

Digital Signal Processing

As meeting rooms, boardrooms and collaboration spaces become larger or more complex, professional digital signal processing (DSP) becomes increasingly important.

An audio DSP manages and processes signals between microphones, Microsoft Teams or Zoom conferencing platforms, presentation sources, amplifiers and loudspeakers, helping the complete audio system operate as one coordinated solution.

GT designs and integrates professional DSP platforms from leading workplace audio manufacturers including Shure IntelliMix, Q-SYS Core and Biamp TesiraFORTÉ, selecting the processing platform around the room, microphone technology, conferencing system and required audio performance.

Depending on the application, digital signal processing can provide acoustic echo cancellation, automatic microphone mixing, equalisation, noise reduction, automatic gain control, audio routing, microphone and loudspeaker processing, conferencing audio, voice reinforcement, audio zoning and Dante networked audio integration.

Combining Room Reinforcement & Microsoft Teams

Professional DSP becomes particularly important where the same microphones need to support both people physically in the room and participants joining remotely.

At ZILO Technology in Canary Wharf, GT integrated a Shure Microflex Wireless neXt 2 system as part of the room's professional audio solution.

The system's integrated Shure IntelliMix DSP allowed the presenter's microphone audio to be used for both local speech reinforcement through the room loudspeakers and the Microsoft Teams call.

This meant people in the room could hear the presenter clearly while remote Teams participants received the same microphone audio. Acoustic echo cancellation and intelligent signal processing helped prevent audio from the Teams call being picked up by the microphone and returned to remote participants, allowing the local and remote audio environments to operate together cleanly without disruptive echo.

GT designs the complete signal path so microphones, DSP, Microsoft Teams or Zoom conferencing technology, amplification and loudspeakers operate as a single engineered audio system rather than as individual components.

Acoustic Echo Cancellation

Video conferencing introduces an additional audio challenge. When a remote participant speaks, their voice is reproduced through the loudspeakers in the meeting room. Those loudspeakers are also within range of the room microphones, creating the potential for the remote participant's own voice to be captured and transmitted back into the Microsoft Teams or Zoom call.

Acoustic echo cancellation (AEC) uses digital signal processing to identify this far-end audio and remove it from the microphone signal before it is returned to the call. The result is clearer, more natural two-way conversation without remote participants hearing a distracting delayed version of their own voice.

GT designs professional meeting room and conference room echo cancellation using technologies including Shure IntelliMix DSP, Q-SYS Core and Biamp TesiraFORTÉ, with AEC configured as part of the complete microphone, DSP, loudspeaker and video conferencing signal path.

In a typical Microsoft Teams Room or Zoom Room, for example, a remote participant may be speaking through several ceiling loudspeakers while people around a boardroom table are using ceiling, beamforming or tabletop microphones. The AEC processor receives a reference of the remote participant's audio, recognises that same audio when it reaches the microphones through the room and removes it from the signal being returned to the call, while allowing speech from people physically in the room to continue through.

This becomes especially important when people at both ends of the meeting speak at the same time. Correctly engineered full-duplex conferencing audio allows the conversation to remain natural rather than forcing participants to wait for the other side to stop speaking because of echo or disruptive audio behaviour.

In larger boardrooms, training rooms, divisible spaces and all-hands environments, the challenge becomes more complex. Multiple microphones and loudspeakers may be operating simultaneously, with different audio zones, conferencing feeds and local speech reinforcement. Professional platforms such as Q-SYS, Shure IntelliMix and Biamp Tesira allow AEC processing and reference signals to be engineered around these more complex audio paths.

AEC performance is also influenced by the physical room. Loudspeaker position, microphone coverage, loudspeaker level, room acoustics and reverberation all affect the acoustic path between the loudspeakers and microphones. GT therefore considers acoustic echo cancellation, microphone design, room acoustics, DSP configuration and loudspeaker placement together rather than treating echo cancellation as an isolated software setting.

For professional Microsoft Teams Room audio, Zoom Room audio and workplace video conferencing systems, correctly configured acoustic echo cancellation is a fundamental part of creating clear, intelligible and comfortable conversation between people in the room and participants joining remotely.

WORKPLACE & MEETING ROOM AUDIO

For environments requiring audio to operate as part of a wider integrated AV system, Q-SYS can extend beyond digital signal processing into video, cameras, control and room automation. This can make the platform particularly relevant to executive boardrooms, divisible spaces, training rooms and all-hands environments where audio needs to respond to different room configurations and presentation workflows.

GT can design Q-SYS as part of the complete workplace AV architecture rather than treating the DSP as an isolated component.

Audio Integrated with Microsoft Teams, Zoom, Webex & Google Meet

Professional meeting room audio needs to work seamlessly with the organisation's chosen video conferencing and collaboration platform.

Gibb Technology designs and integrates audio systems for Microsoft Teams Rooms, Zoom Rooms, Cisco Webex, Google Meet, BYOD and BYOM meeting environments, creating a consistent experience for both people in the room and participants joining remotely.

For smaller and medium-sized meeting rooms, this may involve an integrated video conferencing bar such as a Neat Bar or Neat Bar Pro, Logitech Rally Bar or Rally Bar Mini, or Cisco Room Bar, combining microphones, loudspeakers, cameras and conferencing technology within a simplified room system.

GT works with technologies including Neat, Logitech, Cisco, Yealink, Shure, Biamp and Q-SYS, allowing the audio architecture to scale with the size and complexity of the room.

In larger Microsoft Teams Rooms and Zoom Rooms, the design may move beyond the audio built into the video bar. Dedicated Shure Microflex microphones, Shure IntelliMix DSP, Biamp Parlé and Tesira, or Q-SYS Core audio processing can be integrated with professional amplifiers and ceiling or surface-mounted loudspeakers to provide greater microphone coverage, acoustic echo cancellation, speech intelligibility and sound reinforcement

.

This approach is particularly valuable in large boardrooms, divisible meeting rooms, training rooms, town hall spaces and all-hands environments, where a standard video conferencing system may not provide sufficient microphone or loudspeaker coverage.

For example, at ZILO Technology in Canary Wharf, GT combined a Neat Bar Pro and Neat Pad Microsoft Teams Room with professional Shure audio processing, wireless microphones, amplification and JBL loudspeakers. This allowed the space to operate as a normal Microsoft Teams meeting room while also supporting presenters using handheld and lapel microphones for local sound reinforcement and communication with remote Teams participants.

Cisco Webex room systems can similarly combine dedicated collaboration endpoints such as the Cisco Room Bar or Room Bar Pro with professional room audio, while Google Meet rooms can be delivered using certified platforms including Logitech and Neat. Where organisations require greater flexibility, BYOD and BYOM meeting room systems can allow users to connect their own laptop and access Microsoft Teams, Zoom, Webex, Google Meet or another conferencing application using the room's installed cameras, microphones and loudspeakers.

The objective is not simply to connect audio equipment to a conferencing platform. GT engineers the complete video conferencing audio system, including microphones, DSP, acoustic echo cancellation, loudspeakers, amplification, USB audio, networked audio and room control, so the technology operates as a single integrated meeting environment.

Whether the requirement is a straightforward Microsoft Teams Room audio system, a Zoom Room, a Cisco Webex boardroom, a Google Meet meeting room or a flexible BYOD conferencing space, the audio architecture is designed around the room, the collaboration platform and how people need to communicate.

WORKPLACE AV. ENGINEERED TO PERFORM - INTELLIGENT TECHNOLOGY. DESIGNED FOR PEOPLE - HIGH-PERFORMANCE WORKPLACES. BUILT TO LAST -

There is no single microphone or loudspeaker system that is right for every meeting room.

Room dimensions, table layout, seating positions, ceiling height, acoustic surfaces, background noise and the way people use the space all influence the design.

A small collaboration room may perform extremely well with the integrated microphones and loudspeakers within a professional video conferencing system.

A larger boardroom may require ceiling microphone arrays, dedicated digital signal processing, amplification and distributed loudspeakers.
